We are seeking an exceptional Executive Personal Assistant to serve as the right hand, strategic sounding board, and organizational force behind a high-profile, creative, and decidedly unconventional marketing executive.

This is not your traditional executive assistant position, and we are not looking for a traditional candidate.

The Principal is a fast-moving, entrepreneurial creative who has built a career challenging industry norms, developing brands, and bringing ambitious ideas to life. Their world is a dynamic intersection of marketing, business development, creative direction, client relationships, and personal commitments. We are looking for someone who can move comfortably between these worlds, bringing clarity to complexity and structure to an environment where no two days look alike.

The ideal candidate is equal parts strategic thinker, meticulous organizer, creative collaborator, and trusted confidant.

Someone who genuinely enjoys making things happen, thrives on responsibility, and understands that exceptional executive support is about far more than managing a calendar.

At the heart of this position is one essential quality: anticipation.

We need someone who thinks three steps ahead, identifies potential challenges before they become problems, and takes genuine ownership of the details that allow a visionary executive to operate at their highest level.

Executive Support & Calendar Management
  • Manage a high-velocity executive calendar, coordinating meetings, appointments, professional commitments, and personal scheduling.
  • Proactively prioritize competing demands, protect the Principal's time, and ensure important obligations receive the attention they deserve.
  • Anticipate scheduling conflicts, logistical challenges, and upcoming deadlines before they require intervention.
  • Coordinate occasional personal logistics and administrative needs to support a productive, balanced schedule.
Business Operations & Client Relations
  • Assist with client onboarding and offboarding, ensuring seamless communication and organized transitions.
  • Serve as a trusted point of contact between the Principal, internal team members, clients, and external partners.
  • Prepare comprehensive pre-meeting briefs, including background research, relevant documents, project updates, and outstanding deliverables.
  • Capture meeting notes, organize action items, communicate next steps, and ensure commitments translate into execution.
  • Monitor internal projects, deadlines, team responsibilities, and potential roadblocks, proactively bringing relevant updates to the Principal's attention.
  • Help maintain accountability across departments without requiring constant direction.
Creative & Marketing Support
  • Review presentations, proposals, creative briefs, marketing collateral, design assets, and written content for accuracy, consistency, and alignment with brand standards.
  • Support the preparation and organization of pitches, presentations, strategic documents, and client-facing deliverables.
  • Conduct research into marketing trends, emerging technologies, competitive landscapes, industry developments, and potential business opportunities.
  • Collaborate with creative, marketing, and operational teams to ensure projects remain organized and communication flows effectively.
  • Develop a working understanding of the Principal's creative vision, communication preferences, and professional standards.
Communication & Executive Representation
  • Manage and prioritize incoming email communications, identifying urgent matters and filtering unnecessary distractions.
  • Draft correspondence and professional communications that accurately reflect the Principal's voice, tone, and intentions.
  • Maintain thoughtful, professional relationships with clients, employees, vendors, and business partners.
  • Exercise exceptional discretion when handling confidential business matters, sensitive conversations, and personal information.
  • Represent the Principal with professionalism, confidence, and sound judgment.
WHO WE ARE LOOKING FOR:
Someone who understands that supporting a creative entrepreneur requires adaptability, emotional intelligence, and the ability to balance structure with spontaneity. Someone comfortable working with big personalities, ambitious ideas, shifting priorities, and high expectations.

Beyond professional qualifications, we're looking for someone with the right mindset, instincts, and personality. Someone who appreciates individuality, authenticity, creative thinking, and a workplace that doesn't necessarily follow the conventional corporate playbook.
Compensation: $60,000.00 - $85,000.00 per year

U.S. Equal Opportunity Employment Information (Completion is voluntary)

We are an equal opportunity employer and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, national origin, disability status, protected veteran status, or any other characteristic protected by law.

You are being given the opportunity to provide the following information in order to help us comply with federal and state Equal Employment Opportunity/Affirmative Action record keeping, reporting, and other legal requirements.

Completion of the form is entirely voluntary. Whatever your decision, it will not be considered in the hiring process or thereafter. Any information that you do provide will be recorded and maintained in a confidential file.

Form CC-305
OMB Control Number 1250-0005
Expires 4/30/2026

Why are you being asked to complete this form?

We are a federal contractor or subcontractor. The law requires us to provide equal employment opportunity to qualified people with disabilities. We have a goal of having at least 7% of our workers as people with disabilities. The law says we must measure our progress towards this goal. To do this, we must ask applicants and employees if they have a disability or have ever had one. People can become disabled, so we need to ask this question at least every five years.

Completing this form is voluntary, and we hope that you will choose to do so. Your answer is confidential. No one who makes hiring decisions will see it. Your decision to complete the form and your answer will not harm you in any way. If you want to learn more about the law or this form, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.

If you believe you belong to any of the categories of protected veterans listed below, please indicate by making the appropriate selection. As a government contractor subject to Vietnam Era Veterans Readjustment Assistance Act (VEVRAA), we request this information in order to measure the effectiveness of the outreach and positive recruitment efforts we undertake pursuant to VEVRAA. Classification of protected categories is as follows:

A "disabled veteran" is one of the following: a veteran of the U.S. military, ground, naval or air service who is entitled to compensation (or who but for the receipt of military retired pay would be entitled to compensation) under laws administered by the Secretary of Veterans Affairs; or a person who was discharged or released from active duty because of a service-connected disability.

An "active duty wartime or campaign badge veteran" means a veteran who served on active duty in the U.S. military, ground, naval or air service during a war, or in a campaign or expedition for which a campaign badge has been authorized under the laws administered by the Department of Defense.
